Request for Proposals
Project REAP is a 501c(3) organization that advances diversity, equity, and inclusion in the commercial real estate industry through education, mentorship, and partnerships. The organization serves as a fiscal agent for the Open Access Fellowship; therefore, its finances are a subset of Project REAP. The organization uses QuickBooks accounting software. We seek to build streamlined systems that allow for efficiencies in tracking, monitoring, and reporting fiscal activities and oversight.
POSITION REQUIREMENTS
Individuals or firms are eligible to respond to this RFP. Respondents are expected to meet the following requirements:
Bookkeeping experience in the nonprofit sector, including restricted fund accounting
Advanced proficiency in QuickBooks
Experience working with fiscal sponsorships
Associate’s degree or higher
5+ years of active work experience with a nonprofit organization
Scope of Work and Service Required
The awarded applicant will be responsible for providing the following services, estimated to take 15 – 30 hours a month:
Bookkeeping Services
On a monthly basis, track all organization's financial activities including revenue, expenses, and year-to-date budget analysis
Collaborate with the executive director to process check requests and maintain a bill paying schedule
Reconcile bank accounts and credit card statements. Provide monthly reports to the executive director and treasurer
Maintain records of accounts payable, accounts receivable, and other financial transactions for each organization
Work closely with the executive director and finance committee to ensure accounting accuracy and oversight
Assist executive director with adopting economic systems and processes that track restricted funding
Meet regularly with executive director and the finance committee
Maintain supporting documentation of all transactions
Financial Reporting
Generate financial reports on a monthly basis and as requested by the executive director and/or treasurer
Present financials to the finance committee on a monthly basis
Audit & Tax Preparation Support
Prepare year-end reports (and other documentation, as requested) to support the completion of the annual tax return
Prepare information for reviews or audits as needed; research and resolve issues that may arise
Assist with the preparation of the annual budget
Input the adopted budget and format into QuickBooks
Proposal Contents
Provide the following information with your proposal:
General information: Business name, address, primary contact, email, and phone number
Scope of work: Description of services and approach to bookkeeping services, particularly as it relates to nonprofits and restricted funding (1-2 pages max)
Qualifications: Summary of similar work for a nonprofit organization; proficiency with QuickBooks; experience with multi-agency funders. (1-2 pages max)
Cost Proposal: Describe services that will be provided and how out-of-scope work or special projects may be billed (1-2 pages max)
Resumes: Provide resumes for key personnel working on this project
Professional References: Provide at least two references from organizations where you have performed similar work; include the current contact information for each.
Evaluation & Selection Process:
Proposals will be evaluated on: completeness, assessment of qualifications, similar work experience and references. Interviews may be requested.
Proposal Submission:
The proposal deadline is: June 22, 2022. Send your proposal to: Manikka Bowman, Executive Director, Project REAP, reap@projectreap.org. Submissions will be accepted on a rolling basis until an individual or firm has been identified. We seek to select a new individual/firm by or before July 30th, 2022.
